Booking conditions

1 · Booking and payment

• Any booking request becomes a confirmed reservation after receipt of a confirmation email sent by the hotel within 24 hours.
• No payment is collected online. Settlement is made on arrival in cash (Ariary or Euros), by credit card, or by prior bank transfer.
• Rates displayed on lachotel.com are in ariary (MGA) and per room, taxes included; euro amounts are indicative, converted at 5,000 Ar to €1.
• The tourist tax, collected on behalf of the Malagasy State, is added to the rate (approximately 5,000 AR per person per night).
• The online form is limited to 20 guests and 4 rooms. For larger groups (seminars, weddings), please contact us directly.

2 · Cancellation and modification

Any cancellation or modification must be communicated by email to booking@lachotel.com. Fees are calculated on the total amount of the initial reservation.

• More than 60 days before arrival: free cancellation.
• From 60 to 15 days before arrival: 20 % of the total amount charged.
• From 15 to 5 days before arrival: 70 % of the total amount charged.
• Less than 5 days before arrival: 100 % of the total amount charged.
• No-show or early departure: 100 % of the total amount charged.
• Any date modification is subject to availability and may result in a rate adjustment depending on the season.
• In case of documented force majeure (health crisis, natural disaster, official travel restrictions), the hotel commits to offering a fee-free rebooking over an equivalent period within 12 months.

3 · Right of withdrawal

• In accordance with Article 16(l) of European Directive 2011/83/EU, transposed into Article L221-28 12° of the French Consumer Code, accommodation services provided on a specific date or period do not benefit from the 14-day withdrawal period usually applicable to distance contracts.
• Your booking is therefore immediately binding once confirmed by the hotel, subject to the cancellation policy (section 2).

4 · Mediation and dispute resolution

Any dispute relating to the performance of the accommodation contract may be resolved amicably. Failing an amicable agreement, you have the following options:

• European Online Dispute Resolution (ODR) platform of the European Commission, open to any consumer residing in the EU: ec.europa.eu/consumers/odr/
• Tourism and Travel Mediator (MTV) for travellers residing in France: www.mtv.travel
• The courts of Madagascar (Fianarantsoa courts) have jurisdiction for any other legal action.

5 · Personal data protection (GDPR)

Data collected via the booking form (name, email, phone, nationality, stay dates) is processed under the General Data Protection Regulation (GDPR, EU Regulation 2016/679):

• Data controller: Lac Hôtel Sahambavy, Sahambavy, Haute-Matsiatra, Madagascar (booking@lachotel.com)
• Purpose: processing your booking request, sending confirmations and invoicing.
• Legal basis: performance of the accommodation contract (GDPR Art. 6.1.b) and legal obligations (accounting, hotel register).
• Recipients: hotel reception and administration team only. No transmission to third parties for commercial purposes.
• Retention: 3 years after your stay for customer relations, 10 years for accounting records (legal obligation).
• Your rights: access, rectification, erasure, restriction, portability, objection. To exercise these rights: booking@lachotel.com
• Supervisory authority: CNIL (France, www.cnil.fr) or any equivalent European authority in your country of residence.

6 · Times and arrival

• Check-in: from 2:00 PM (Madagascar time, UTC+3).
• Check-out: before 11:00 AM. Late check-out on request and subject to availability (until 3:00 PM, free; beyond, additional night charged).
• Estimated arrival time: to be communicated in the booking form so the team can prepare your welcome.
• In case of unexpected delay, please notify us via WhatsApp at (+261) 34 99 161 76.

7 · Partners: tour operators and inbound agencies

The conditions below apply to travel trade professionals. Lac Hôtel Sahambavy works with operators holding a valid NIF and STAT registration.

• Bookings: no reservation is taken by telephone. All requests must reach us by email at booking@lachotel.com or lachotelsahambavy@gmail.com.
• Confirmation: a confirmed booking is followed immediately by a pro forma invoice, payable in full before the guests arrive. If no confirmation reaches us within the stated time, the booking is cancelled automatically.
• Allotments: we favour confirmed bookings, our property being small. No option deadline is applied, but as soon as another request is confirmed we will ask you to release the rooms. An allotment is held if the number of registered travellers is sent to us monthly.
• Vouchers and post-payment are no longer accepted.
• Payment: cash or cheque on site, or bank transfer before arrival. Please send us the credit advice quoting the invoice or pro forma number.
• Driver: accommodation and meals complimentary.
• Guide: 50% on services, accommodation billed to the client, 50% on meals.
• Tour leader: complimentary accommodation in standard category for groups of 10 travellers or more, and 50% on meals. Below 10 travellers, accommodation and meals are billed at 50%.
• Educational tours: accommodation complimentary; meals and drinks charged to the client at 50%.
• Cancellation: the scale in article 2 applies equally to agency bookings.
